NARRATIVE GENERAL DESCRIPTION

The Student Services Specialist provides administrative support and project coordination to the Vice President and Dean of Students and the Ronald Cattelino Center for Student Services. The position requires a keen sense of detail and the ability to effectively manage multiple complex processes at once. The successful candidate will develop strong relationships with internal and external constituents, provide excellent customer service to a broad range of individuals to ensure timely and efficient completion of projects.

ESSENTIAL FUNCTIONAL RESPONSIBILITIES

Administrative support to the VP/Dean; including, but not limited to:

• manage the VP/Deans calendar
• schedule meetings and appointments
• oversee correspondence and communication
• assist in and/or manage the logistics, research, and preparation for multiple meetings, projects, and events (new student orientation, graduation, etc.)
• maintain various financial reports and records
• update and prepare departmental materials related to the services provided, such as policies, handbooks, presentations, etc.
• manage telehealth registration, marketing, etc.

Administrative support to the Ronald Cattelino Center for Student Services; including, but not limited to:

• respond to inquiries from students, staff, faculty, and the public via phone, email, or in person
• provide information, referrals, and resources to all constituencies
• direct questions or requests to appropriate personnel/departments; and resolves complaints and issues.
• provides support to professionals within the department by preparing documentation for various student processes (e.g. degree audits, academic support and accommodations, proctoring exams, financial aid/student employment, registration) and other tasks as assigned
• Maintain student records and confidential data and ensures compliance with Federal, State and other applicable laws
• Participate in student retention initiatives
• Meet with staff and stakeholders on a regular basis.
• Participate in relevant professional organizations and professional development opportunities
• Assist with crisis intervention as needed
• Other duties as assigned

KNOWLEDGE, SKILLS, AND QUALIFICATIONS

• Knowledge of and ability to apply standards appropriate to the fields of student services, including knowledge of higher education academic requirements and curricula, academic skills and strategies, communication skills, and referral processes.
• Must have strong administrative, organizational, and communication skills (written and oral).
• Ability to work independently and as a team member with a well-developed capacity to delegate successfully and monitor progress.
• Ability to maintain a high volume of assignments with proficiency and adjust priorities accordingly, as well as conclude projects on a timely basis and according to deadlines.
• Must have a pleasant, courteous, and professional attitude and presence.
• Adherence to federal and state mandates regarding student information, confidentiality, and operations related to the essential functional responsibilities of the position.
• Interact, inspire confidence, motivate, and work successfully with other college personnel and students.
• Ability to evaluate the nature and significance of objectives and goals and to translate them into a workable plan.
• Ability to effectively and accurately articulate the institution's priorities, policies, and mission.
• Ability to use current computer equipment and programs being used by the division.
• Ability to creatively solve challenges in a constructive manner.
