Mission:

Woodwell Climate Research Center (Woodwell) conducts science for solutions at the nexus of climate, people, and nature. We partner with leaders and communities for just meaningful impact to address the climate crisis.

Summary/Objective: We are searching for a Sponsored Research Administrator (SRA) to provide life-cycle administration for a growing team. The Sponsored Research Office (SRO) provides assistance to the Woodwell community by identifying funding opportunities, reviewing and submitting proposals, and managing the requirements and terms of the awards. The SRO oversees all functions of government proposal submissions.


This position encompasses a unique blend of responsibilities including 1.) sponsored research operations; 2.) grant monitoring; 3.) budgeting; and 4.) compliance with rules and regulations. This role works independently with a high degree of organization and maintains congenial, professional, and confidential relationships with the entire staff and external contacts. This position will work with the Sponsored Research Manager to provide life-cycle administration (pre-award, award and post-award) to a growing organization.

Responsibilities:

Pre-award Responsibilities

  • Develop proposal budgets, detailed cost analyses, and budget justifications

  • Review solicitations and requirements for submission

  • Upload budgets and required documents, including final proposal submission

  • Track research proposal and grants as they move through pre and post award activities

  • Provide policy interpretation on sponsored grants in accordance with funder policies and procedures

  • Liaises closely with People & Culture and Finance departments

  • Collaborates with PIs to resolve issues that occur during the internal review/approval through submission to sponsor


Post-award Responsibilities

  • Administers grants to ensure accuracy and compliance with award and institutional guidelines

  • Review transactions and work with the PI and Finance teams to appropriately apply internal controls

  • Appraise PIs and SRO of developments in post-award grants management, ensuring financial compliance with federal regulations and agency guidelines

  • Assist PIs with no-cost extensions, grant transfers, change of PI/co-PI, change of scope of work grant closeouts

  • Work with PIs on various aspects of awards, assisting with annual and submission of final reports

  • Prepare and review subaward and consultancy agreements and amendments, including FSRS reporting


Typical Core Duties

  • Oversee such pre-award areas as: funding, searches, proposal submission, document tracking and reporting

  • May act as signatory for Woodwell, to endorse, negotiate, and/or accept grants and awards,

  • Evaluate pre-award and post-award research administration procedures and recommend improvements

  • Perform complex post-award activities including award approval and set up, analysis and reporting and long-range financial planning

  • Provide technical advice and problem resolution on research administration

  • Ensure financial compliance with Woodwell policies and procedures and applicable federal and sponsor rules and regulations

Qualifications and Experience:

  • Bachelors degree or equivalent work experience required

  • Minimum of 5 years relevant work experience

  • Deep knowledge of sponsored research regulations

  • Experience with proposal budgets and project budgeting

  • Experience with federal and foundation awards and grants

  • Excellent interpersonal skills, the ability to interact well with staff and other departments

  • Knowledge of Microsoft Office Suite, advanced Excel skills, SAGE software

  • Knowledge of grants.gov, NSPIRES and research.gov

  • NCURA knowledge

  • Experience with project budgeting, oversight and reporting of sponsored awards

  • Experience with reviewing and creating contracts

Classification and Compensation: This is a full-time, salaried, exempt position, the annual salary range is $85,000+ dependent on qualifications/experience. Woodwell offers a generous benefits package and work life balance.


Location: Falmouth, Massachusetts (The candidate is expected to work on-site. This is not a remote position.)
