******Unless specifically contracted, resumes from recruiting agencies are not being accepted for this position.****** Reporting to the Manager of Property Support Services, the Project Coordinator will perform key functions relating to the collection of site data, coordination of annually recurring national programs, and the maintenance of department information in Sales Force.

The specific duties of this position are as follows:

Sales Force
  • Routinely audit Sales Force for the following property information:
  • Tenant information
  • Vendor information
  • First responder information
  • Municipal contacts
  • Ensure that vacancy profile reports are tagged to their respective spaces/units in Sales Force
  • Work cooperatively with the regional property management teams (PM & PA) in updating the above information and in creating standard procedures for maintaining the data
  • Add national program information to each property record within Sales Force and develop standard reporting in Sales Force for the same
  • Ensure that Kimco's standard form contracts and other property management specific forms are maintained and updated in the Sales Force platform
  • Post all department specific training material in Sales Force and ensure that new-hires review these documents and sign the acknowledgement forms, including, but not limited to:
  • Procurement policy manual
  • ADA policy manual and training document
  • Safety & security in the workplace training
  • Emergency response program
  • Regularly communicate with the department through the Sales Force Chatter portal
  • Conduct regular training on Sales Force for the property management department

National Programs

Act as the liaison between the Property Managers and Kimco's national vendors in arranging for recurring inspections, service fees, and for providing annual cost information to the field for budgeting purposes. Implement standardized processes for new acquisition sites and for development/redevelopment properties that enrolls those sites into Kimco's standard programs noted below. Additionally, make sure that the property records in Sales Force reflect the most current information regarding these services
  • Vacancy profile inspections and related reports
  • Gateway building controls
  • Emergency response plan
  • Water submeters
  • Shared utility mapping
  • LED lighting (On-Site Lighting)
  • RCS Roofing
  • ID Plans
  • ADA Compliance
  • Pavement management
  • ISA Fire life safety
  • Red Flag - emergency notification system
  • Energy benchmarking requirements and affected sites
  • CAP Index reports
  • Coordinate annual operational surveys with national vendors (e.g., ID Plans, RCS Roofing, EMG, etc.) and ensure this information is updated in Sales Force
  • Recurring service scopes of work

Call Center Operations
  • Review daily call center reports to ensure tenant requests are being handled properly (tenant vs. landlord responsibilities) and in accordance with the urgency of the situation
  • Customer satisfaction survey - ensure that Kimco's answering service is conducting follow up surveys for each ticket logged and identify ways to improve Kimco's overall 5-star rating


Requirements

The ideal candidate will have knowledge of all Kimco systems, but especially Sales Force. Strong communication skills are a must - both verbal and written. The candidate must be goal-oriented, a self-starter, and able to multi-task. Knowledge of the retail real estate industry is highly desired.

The candidate should have a 4-year degree and advanced proficiency in managing information using MS Excel for analyzing data and creating reports.
