JOB DESCRIPTION

The Hotel Tango External Event Manager is responsible for acting as the leader and primary point of contact for promotional experiential creations, promotional event execution, event calendar management, and management of the internal team of Brand Ambassadors. The External Event Manager will be responsible for recruiting, hiring, training, scheduling and ongoing development of a team of promotional Brand Ambassadors to ensure the entire staff is highly trained on the Hotel Tango brand and sufficiently represents Hotel Tango Distillery in the market.


PRIMARY RESPONSIBILITIES

  • Strategy Execution

    • Be responsible for confirmation, set-up, execution, and recap of all Hotel Tango promotions and sampling events

    • Physically execute all events or ensure a staff member is adequately prepared and educated to do so

    • Ensure all promotional events are on brand, educational, and generating revenue or brand awareness for Hotel Tango

    • Promotional events should tell the Hotel Tango story and create a great experience for consumers and trade partners

    • Ever-present for all events to ensure success and engagement with clientele and vendors

    • Responsible for staffing local events if Brand Ambassador cannot attend and working with trade partners to restaff, cancel and/or reschedule out of market events when unforeseen circumstances require it

    • Support current partnerships with event activations, staff trainings, and cocktail menu ideation as outlined in partnership contracts

    • Manage and maintain accurate inventory of promotional materials with Brand Manager, schedule new orders as needed

    • Management of product and supplies for all external events and needs from partners and internal departments

  • Leadership, Management, and Accountability

    • Recruiting, hiring, training, scheduling, and payroll for team of Brand Ambassadors

    • Schedule and lead monthly Brand Ambassador meetings for additional training, company updates, shout outs, and to ensure all are aligned with Company goals and have necessary resources

    • Serve as leader and mentor to Brand Ambassador team at all times

    • Responsible for ensuring team of Brand Ambassadors have availability schedules complete and up to date

    • Responsible for scheduling of Brand Ambassadors and remains in constant communication to ensure no lapses in execution of events

    • Supervise event intern and/or part-time event coordinator by managing their schedules and responsibilities to ensure the success of Hotel Tango events.

    • Fill out Back of House (BOH) requests forms for event-specific cocktail needs a week prior to event

    • Communicate with BOH once form is filled out to confirm receipt, aid in ideation and execution if needed

    • Complete BEO that includes all necessary event details, packing checklist, and event timeline

    • Ensure event supplies are organized in BOH hallway at all times, and supplies are ready for events on the day of

    • Ensure Post-Evaluation Form is filled out within 48 hours of event

    • Demonstrates excellent customer service and educates others on such

  • Internal and External Relationships

    • Schedules appropriate staff with coordination between the Director of Corporate Partnerships, Director of Events, and Tasting Room management, if needed.

    • Responsible for requesting ATC approval and pulling proper permits that are needed for festivals and trade shows

    • Maintain relationships with the community and vendor partners

    • Work with Director of Corporate Partnerships to create new and engaging promotional experiences

    • Work with Sales and Marketing teams to garner the tools needed and sell into retail / trade partners

    • Assist Sales Team with servicing of A on-premise accounts that require additional support - waitstaff spirit training, training videos, onsite promotions, and brand education

    • Support sales distribution division for cocktail events, dinners and wait staff trainings in all markets

    • Work with Market Managers and Directors to target events with greatest reach and ROI

  • Maintain Disciplined Schedules

    • Manage an up-to-date, professional promotional events calendar, and share weekly with all staff

    • Pre-plan schedule on a weekly basis to accomplish most high priority and productive work activities

    • Share schedule with team and leadership

    • Attend external events on regular basis to ensure they are meeting Company expectations and to network with retailers and mentor coworkers

    • Willing to work outside traditional hours as needed

SKILLS & EXPERIENCE

  • QUALIFICATIONS

    • Because of the nature of the organization, all candidates must be at least 21 years of age

    • COVID-19 Card or submit weekly negative tests

    • Candidate must be eligible to attain alcohol permits in all assigned markets

    • Bachelor's degree in in tourism, events, sales management or similar field required

    • Clean driving record to qualify for company insurance

    • Must be able to gain access to military bases

    • Ability to bend, lift, carry 50+ pounds

    • Ability to walk/or stand for several hours

    • Travel required up to 50%

    • Nights and weekends required

  • SKILLS

    • Ability and willingness to maintain a flexible work environment

    • Proficiency in general office management, word processing, product research, organization, etc

    • Detail-oriented with attention to customer engagement satisfaction

    • Must be able to work under pressure

    • Well organized and ability to work both within a team and independently

    • Results oriented, innovative, and strong problem solving skills

    • Strong networking and relationship management capabilities

EXPERIENCE

  • 3+ years of event sales and planning experience in a similar position

  • 5+ years of event management, execution and logistics experience

  • Experience in decision making, process improvement, event planning, verbal communication, strong customer focus, management proficiency, quality focus


KEY PERFORMANCE INDICATORS

Manager will be measured and compensated against the following KPIs:

  1. Number of Events Executed

  2. Bottles Sold/Hour

  3. Promotional Spending vs. Budget
