Job Description Summary
Reporting to the Vice President of University Advancement (UA), the Advancement Operations Manager oversees the financial and administrative affairs for the division. The Advancement Operations Manager is an important member of the team and supports both strategic communication efforts as well as provides oversight of day-to-day transactions, processes, special projects, and prepares materials and facilitates activities for highly visible meetings and events.

Essential Duties
  • Review and track budget status on a regular basis. Work with VP to prepare annual budget submissions.
  • Work with VP to develop presentations and talking points for VP participation in board meetings and other events at which the VP will be speaking/presenting.
  • Leads agenda development and execution of UA All-Staff meetings. Leads agenda development for UA Leadership Team meetings - communicates and tracks on action items and next steps.
  • Leads development of annual operating plan and mutli-year fundraising plans with direction from VP. Prepares monthly and quarterly progress reports for VP and UA Leadership Team.
  • Develops internal University Advancement communications/newsletters on behalf of VP.
  • Manages UA interface with Office of the President for President's development activities.
  • Develops and manages process for collecting and reviewing all briefings for president and other university leaders, ensures proper vetting and approval and ensures smooth flow of communication between University Advancement and the President's Office.
  • Provides project management on behalf of VP for special projects.


  • Minimum Qualifications
  • Bachelor's Degree
  • A minimum of 5 years of progressively responsible executive support experience.
  • Must have effective oral and written communication skills and executive presence with the ability to meet with and deliver presentations to diverse audiences both in person and remotely.
  • Strong interpersonal skills and commitment to excellent customer service.
  • Ability to actively handle multiple projects, possess excellent project management skills, and meet deadlines in a fast-paced environment.
  • Deep commitment to high quality work product with key attention to detail.
  • Must be fully proficient in MS Word, Excel, and PowerPoint. Ability and willingness to learn new systems and software.

  • Typical office setting with extensive sitting, computer and phone related work
  • Regular use of a computer keyboard and mouse.
  • Must be flexible to work additional hours as needed
