Key Accountabilities

Key Accountabilities

General Office Support

• Provides support to faculty for classes, labs and projects; assists faculty with all academic needs including organizing courses on Canvas, posting grades, arranging rooms for additional class time, review sessions, etc.
• Processes and submits invoices and financial documents (travel reimbursement/ Pcards, purchase orders) for processing.
• Types and prepares a wide variety of correspondence, forms, manuscripts, etc. and performs minor proofreading/ editing. This may include processing room assignments and timesheets for teaching assistants.
• May track monthly expenditures to ensure accurate records of department budgets.
• Works independently being able to change priorities frequently and efficiently.
Information Management
• Maintains department files and databases (e.g. student grades, enrollment, department information) to ensure accuracy and accessibility of information.
• Assists with the filing of department/office documents in accordance with established procedures.
• Exercises discretion in handling confidential and sensitive information.
Communication
• Serves as the initial point of contact for inquiries to the office. Responds to inquiries and provides information or refers to appropriate individual to address the needs of the inquiry.
• Works with Thayer Communications Office to prepare and distributes flyers, posters, and mass mailings to publicize department activities.
• Communicates respectfully with a diverse community.

Schedule Coordination

• Maintains schedule for faculty/supervisor and/or department staff.
• Schedules department meetings, events, and functions including coordination of guest itineraries, room reservations, invitations, food and expense management, etc.
• Coordinates with other offices and departments to arrange co-sponsorship of events.
• Assists in the coordination of major recurring department activities including those with related departments, external participants, etc.

Committee/Meeting Participation

• Coordinates, attends, and participates in various meetings as requested by the Faculty Event Chair.
• Gathers information for the meetings, coordinates items for the agenda, and distributes material to participants prior to the meeting. Follows up on details to ensure timely and accurate dissemination of information.
• Interacts regularly with a wide range of internal and external constituents and staff
and conveys information on behalf of the supervisor.
• Regularly handles confidential or sensitive information, exercises discretion concerning its disposition.
